Assistant Manager, Marketing Operations
Job Purpose
The Assistant Manager, Marketing Operations is responsible for driving operational excellence across the Marketing & Corporate Communications Department by managing project coordination, budgets, procurement, events, marketing administration, collateral management, and workflow governance.
The role ensures marketing and communication initiatives are delivered efficiently, on schedule, within budget, and in accordance with established operational processes. Working closely with the Marketing Strategy Manager, Assistant Manager (Brand Communications), Graphic Design Team, Marketing Communications Specialists, Finance, Procurement, and internal business units, the role serves as the operational backbone of the department, enabling seamless execution of marketing initiatives
Job Description
Key Responsibilities
1. Marketing Operations & Project Coordination
• Coordinate the operational delivery of all marketing campaigns, communication initiatives, events, and projects.
• Develop and maintain integrated project timelines and campaign trackers.
• Monitor project milestones and proactively identify risks or delays.
• Coordinate cross-functional activities between Marketing Strategy, Brand Communications, Design Team, Customer Service, Sales, Product, Procurement, and external agencies.
• Manage workflow, task allocation, approvals, and project status reporting.
• Maintain department SOPs, workflow documentation, and project governance.
• Ensure projects are completed on time and within agreed budgets.
2. Budget, Procurement & Financial Administration
• Prepare and monitor the annual and quarterly budgets for Marcoms and CX in collaboration with respective section heads.
• Monitor budget utilization and project expenditures through SAP to ensure cost efficiency and financial accuracy.
• Coordinate procurement activities including sourcing, quotation comparisons, vendor engagement, and compliance with procurement policies.
• Prepare and submit Procurement Orders (POs) and Procurement Committee (PTC) papers, ensuring all supporting documentation is complete, accurate, and submitted within required timelines.
• Coordinate with Finance and Procurement to facilitate timely purchasing, invoice verification, payment processing, and budget reconciliation.
• Conduct vendor evaluations and recommend procurement improvements to achieve value for money.
• Prepare regular budget utilization and procurement reports for management review and maintain supporting documentation for internal and external audit purposes.
3. Event Operations & Execution
• Coordinate logistics for launches, seminars, conferences, roadshows, employee engagement, and customer events.
• Develop detailed execution plans and run sheets.
• Coordinate venue setup, suppliers, vendors, permits, transportation, and logistics.
• Ensure event readiness.
• Conduct post-event operational evaluations.
4. Marketing Administration, Governance & Operational Support
• Lead, coach, and supervise the Marketing Administration staff to ensure efficient departmental administration, operational support, and documentation.
• Develop, implement, and continuously improve departmental Standard Operating Procedures (SOPs), workflows, trackers, dashboards, calendars, and governance processes.
• Oversee the management of marketing documentation, approvals, contracts, procurement records, project files, and operational records, ensuring they are accurate, organized, and audit-ready.
• Manage the inventory, allocation, distribution, and utilization of marketing collaterals, branded merchandise, promotional materials, event assets, and seasonal gifts across Head Office and Branches, ensuring timely replenishment when required.
• Coordinate the procurement, production, storage, and distribution of seasonal gifts, corporate gifts, promotional items, and marketing collaterals in collaboration with Procurement, Finance, vendors, and internal stakeholders.
• Prepare regular operational reports and dashboards covering project status, budgets, procurement, collateral utilization, inventory, and operational performance for management review.
• Drive continuous improvement initiatives to strengthen operational efficiency, governance, documentation standards, audit readiness, and cross-functional coordination.
5. Vendor & Agency Operations
• Coordinate production schedules with internal procurement personal and external vendors.
• Track agency deliverables.
• Monitor service level agreements.
• Ensure deliverables meet contractual timelines.
• Maintain vendor database.
6. Marketing Governance & Operational Compliance
• Ensure all projects follow the Marketing approval workflow.
• Verify required approvals have been obtained before production or publication.
• Confirm procurement and budget approvals are complete.
• Monitor compliance with department SOPs.
• Maintain project documentation and audit records.
• Coordinate final sign-off workflow between Strategy, Brand Communications, and Management.
• Support continuous improvement of operational processes.
7. Cross-Functional Collaboration
• Work closely with Assistant Manager, Brand Communications to coordinate communication timelines and production schedules.
• Support the Marketing Strategy Manager in campaign planning and implementation.
• Coordinate with the Design Team to manage creative production timelines.
• Liaise with Finance, Procurement, HR, Customer Service, Call Center, Product, Sales, and external vendors.
• Ensure operational readiness for campaigns and events.
Job Requirements
- Bachelor’s degree in business administration, Marketing, Management, Communication, or a related field.
- Strong communication and interpersonal skills
- Proficiency in Microsoft Office applications, especially Excel, Word, and PowerPoint
- Strong coordination, organizational, and problem-solving skills
- Good teamwork skills and ability to collaborate with internal departments
- Ability to work under pressure with a strong sense of responsibility and accountability
