IT Admin

Job Purpose

Managing the IT budget, inventory, procurement, payment processing, and administrative support for IT operations, including asset tracking, documentation, reporting, and compliance with IT-related processes.

Job Description

  • Consolidate and calculate the IT budget for HQ and branches.
  • Manage the inventory of cartridges, toner, UPS, IT accessories, IP phones, and related equipment. Handle and track IT fixed assets, including laptops, printers, copiers, and scanners. Process inventory goods issuance in SAP monthly.
  • Request quotations from vendors for IT accessories and equipment. Facilitate the purchasing process for IT-related items. Collect Form 31 from vendors.
  • Initiate and follow up on IT payment processes in SAP. Arrange petty cash for IT-related expenses. Report on the monthly inventory list and payment pending list to the Finance Department.
  • Request and distribute stationery and office supplies for IT team members. Maintain and organize IT-related contracts and documents.
  • Record IT team members’ attendance and leave and submit reports to the HR Department.
  • Collect and prepare Microsoft Forms for IT-related processes. Prepare and maintain audit files. Record and track software license periods. Submit weekly reports on IT-related administrative matters.
  • Process travel allowance claims, including business trip reimbursements.
  • Assist IT employees with various administrative tasks as required.

Job Requirements

  •  Bachelor’s degree or diploma in Business Administration or a related field.
  • Certifications in office administration and relevant financial certifications are a plus.
  • Strong administrative experience or technical skills are preferred.
  • Strong organizational and time management skills.
  • Excellent communication and interpersonal abilities.
  • Attention to detail and high level of accuracy.
  • Ability to multitask and prioritize effectively.
  • Strong problem-solving and decision-making skills.
  • Proficient in office software, including Microsoft Office Suite.
  • Ability to work independently and as part of a team.
  • Strong customer service orientation.
  • Adaptability and ability to work in a fast-paced environment.
  • Knowledge of office procedures and administrative systems.
