Administrative Assistant
Job Purpose
To provide mid-level assistant to Head of Office and confidential support to ensure the efficient operation of the Executive Vice Chairman’s office.
Job Description
Assisting and supervising following daily routine operations of the Executive Vice Chairman Office.
- Maintaining, prioritizing, and scheduling complex daily, international, and virtual meetings.
- Producing reports, presentations, and maintaining filing systems.
- Serving as the point of contact between the Executive Vice Chairman and internal/external stakeholders, representing the office with professionalism.
- Handling sensitive company or personal information with high integrity.
- Managing comprehensive travel logistics, itineraries, and expenses, domestic/international travel, and booking logistics.
- Supervising the daily operations of the Chairman’s office, including Reception and documentation control.
Other duties and responsibilities:
- Answering phones, handling emails, filing documents, scanning, photocopying, and maintaining both physical and digital records.
- Greeting visitors, handling mail, and scheduling appointments.
- Managing supplies, inventory, and ensuring office equipment functions correctly.
- Organizing meetings, conferences, and department workflows.
Job Requirements
- Graduate Degree Holder
- 3-5+ years of experience in administrative assistant level.
- Strong written and verbal communication for interacting with staff and clients.
- Strong proficiency in MS Office Suite and virtual meeting platforms.
- Exceptional organizational, communication, and interpersonal skills.
- Ability to act independently and manage multiple priorities.
- Ability to manage files and maintain an orderly workspace.
