Job Purpose

To ensure accurate and timely payroll processing, maintain compliance with tax and labor regulations, efficiently manage HR-related payments, and oversee HR systems, employee records, and documentation to support effective HR operations.

Job Description

HR Operations Administration

Ensure that all employee records, including personal details, contracts, and performance reviews, are accurate and compliant with legal requirements.
Review and approve payroll inputs, including attendance, overtime, bonuses, deductions, and benefits.
Collect and organize data related to employee attendance, overtime, bonuses, deductions, and benefits to facilitate accurate payroll processing.
Compile and update the HR database on a monthly basis to reflect any changes in employee information or status.
Generate and manage the necessary documentation for Social Security Board (SSB) contributions and income tax compliance on a monthly basis.
Provide support to employees by addressing and resolving any HR-related operational issues that may arise.

HR Systems

Use HRIS for data entry, reporting, attendance, and leave management; troubleshoot system issues including user access and data inconsistencies.

Documentation & Compliance

Organize and maintain both physical and digital employee files.
Manage leave tracking and approval processes; address related queries.
Support audits by preparing required HR documentation and implementing corrective actions.
Ensure compliance with labor laws, company policies, and data protection standards.

HR-Related Payments

Oversee employee reimbursements, vendor payments, and benefits disbursement.

Ensure accurate and timely execution of all HR-related payments.

Liaise with Finance for reconciliation and documentation of transactions.

Job Requirements

EDUCATION LEVEL & PREFERENCE
• Bachelor’s degree in business administration, marketing, or a related field; master’s degree preferred.
• Proven track record of success in corporate direct sales, with at least [X] years of experience in a leadership role.
• Demonstrated ability to develop and execute strategic sales plans to achieve revenue targets and business objectives.

SUCCESS FACTORS REQUIREMENTS FOR THIS ROLE
• Proven experience of 3 years in HR operations, with a focus on Compensation & Benefits.
• Background in Finance or strong knowledge of financial processes related to payroll, accounting, and reconciliations.
• Proficiency in payroll software and HR information systems (HRIS).
• Strong understanding of payroll practices, tax regulations, and compliance requirements.
• Advanced skills in Microsoft Excel and other Microsoft Office applications.
• Attention to detail and a high level of accuracy in work.
• Ability to communicate complex information clearly and concisely.
• Ability to manage multiple tasks and priorities simultaneously.
• Strong ability to work under pressure and meet tight deadlines.
SPECIAL FACTORS OF THE ROLE 
• Involves handling confidential employee data, payroll records, and large volumes of documentation.
• Requires regular coordination with internal departments and external government entities such as the Tax Office and Social Security Board.
