Project Coordinator

Job Purpose

The Project Coordinator plays a vital role in ensuring effective communication, coordination, and execution of key corporate initiatives. This position supports the executive and planning functions by facilitating strategic meetings, maintaining accurate documentation, tracking action items, and ensuring timely follow-up across departments. The role also contributes to the success of cross-functional projects by monitoring timelines, engaging stakeholders, and driving accountability. Through strong organizational and communication skills, the Corporate Liaison Officer ensures alignment between departments and supports the overall efficiency and transparency of corporate operations. 

Job Description

Meeting Management 

  • Coordinate and facilitate internal and external meetings, including executive-level and cross-functional discussions. 
  • Prepare and distribute meeting agendas, supporting documents, and presentation materials. 
  • Record clear and accurate meeting minutes, identify action items, and track follow-up tasks until completion. 
  • Ensure meetings are scheduled, communicated, and conducted in a timely and organized manner. 

Project Support & Coordination 

  • Join and support corporate strategic projects across departments. 
  • Monitor project timelines, deliverables, and progress; proactively follow up with relevant teams to ensure completion. 
  • Assist in preparing project updates, progress reports, and presentations for executive leadership. 
  • Assist in facilitating organization-wide adoption of PMO strategies. 

Stakeholder Management 

  • Act as a central liaison between departments and key stakeholders, ensuring effective communication and collaboration. 
  • Build strong working relationships with internal stakeholders, including senior management, department heads, and project teams. 
  • Represent the executive or planning office professionally in all correspondence and coordination. 

Action Item Monitoring 

  • Maintain a centralized action item tracker for meetings and projects. 
  • Regularly follow up on open items and provide status updates to relevant leaders. 
  • Escalate delays or risks to management with proposed mitigation steps. 

Job Requirements

  • A minimum (3) years’ work experience in a related field.  
  • Proactive and self-motivated with a strong sense of accountability. 
  • Ability to deal with senior management & managers with confidence and work around them comfortably. 
  • Ability to use Microsoft Office Suite (Word, Excel, PowerPoint) effectively.
  • Excellent communication and presentation skills. 
  • Fluency in English both in speaking and writing (Mandatory).
